How it works

From scattered renewals to a system that runs itself

Four steps take you from a spreadsheet you dread to a living register that reminds the right person before every deadline. Here is the whole workflow.

01
Add a tool

Log the product once, with everything that matters

Create a register entry for each tool: vendor, category, the internal owner and business unit, license type, seats, cost and how critical it is. This becomes the single source of truth everything else hangs off.

  • Name, vendor and category
  • Owner and business unit for accountability
  • License type, seats and annual cost
  • Criticality: what breaks if it stops

Set dates & clauses

Record the renewal date and the notice period

Add the renewal or expiry date and the termination clause, including how many days' notice you must give to cancel. StackTrackr immediately computes the cancellation deadline: the last day you can act before the contract rolls over.

  • Renewal, expiry and auto-renew flag
  • Notice period from the termination clause
  • Cancellation deadline calculated for you
  • Contract flagged red once inside the notice window

StackTrackr computes the cancellation deadline for you: renewal date minus the notice period. That is the date teams actually miss.
03
Upload contracts

Attach the paperwork to the tool it belongs to

Drop the master agreement, the T&Cs, invoices and the email thread where you agreed terms into the vault. It's encrypted, scoped to your team, and always one click away when a renewal lands.

  • Contracts, invoices, T&Cs and emails in one place
  • Encrypted at rest
  • No inbox archaeology at renewal time

Receive alerts

Automated reminders reach the owner on time

From here it runs itself. The owner is emailed 90, 60, 30 and 7 days before each deadline, with a weekly digest of what's coming. You just make the call: renew, renegotiate, or cancel.

  • Configurable reminders, emailed automatically
  • Weekly digest across the whole estate
  • Every send recorded in the audit log
